This Privacy Policy explains how NAQIX Technologies Pvt. Ltd. (“NAQIX”, “we”, “us”) collects, uses, shares, and protects information in connection with the NAQIX cloud ERP service, including the NAQIX Business web application and the NAQIX Business Android mobile application (together, the “Service”).
Who uses NAQIX. NAQIX is a business-to-business (B2B) enterprise resource planning tool. Accounts are created and managed by the business (the “Company”) that subscribes to NAQIX. Individual staff users sign in with credentials issued by their Company. In respect of business records you enter, your Company is the data controller and NAQIX acts as a data processor on its behalf.
1. Information we collect
Account & identity data
Name and email address — used to create and manage your user account and to authenticate you.
Password — stored only as a salted cryptographic hash; we never store it in plain text.
User identifiers — an internal account/user ID.
Business records you enter
Contact records for your customers and suppliers, which may include their name, phone number, email address and postal address, and business transaction data such as invoices, quotations, purchases, expenses, orders, inventory and payments.
Location data (mobile app)
With your permission, the mobile app captures your device’s approximate and precise location at the moment you use specific features — namely attendance check-in / check-out and, optionally, geo-stamping a payment collected in the field. Location is captured only in the foreground while you actively use these features; the app does not track your location in the background.
Device & technical data
Device identifiers and a push-notification token — used to deliver push notifications and to secure your session.
Diagnostics and crash logs — collected via our error-monitoring provider (Sentry) to detect and fix problems. These may include your account email/ID, device model, operating-system version, and technical details of an error.
Usage analytics — limited information about how the app performs and which features are used, to improve reliability and performance.
Android app permissions
Camera — to scan product barcodes and capture photos of documents you choose to attach.
Location (while in use) — for attendance and optional payment geo-stamping, as described above.
Biometric / fingerprint — to unlock the app locally on your device; biometric data never leaves your device and is never sent to us.
Notifications — to send you operational alerts.
2. How we use information
To provide, operate, secure and maintain the Service and its features.
To authenticate users and manage accounts and access.
To send transactional and operational notifications.
To diagnose problems, prevent fraud and abuse, and improve performance and reliability.
To comply with legal, tax and regulatory obligations.
We do not sell your personal data, and we do not use it for third-party advertising.
3. How information is shared
We share information only as needed to run the Service:
Your Company. Business records you create are visible to authorised users within your Company account, according to the roles and permissions your Company configures.
Service providers (sub-processors) who process data on our instructions under confidentiality obligations — for example cloud hosting/infrastructure, error monitoring (Sentry), and messaging/notification delivery. They may process data only to provide their service to us.
Legal & safety. Where required by law, regulation, legal process, or to protect the rights, property or safety of NAQIX, our users, or the public.
Business transfers. In connection with a merger, acquisition, or sale of assets, subject to this Policy.
We do not transfer your data to third parties for their own independent purposes.
4. Data retention
We retain personal and business data for as long as your Company’s account is active and as needed to provide the Service, then for any additional period required to meet legal, tax, accounting or regulatory obligations, after which it is deleted or anonymised.
5. Security
Data is encrypted in transit using TLS/HTTPS and encrypted at rest. Sensitive personal fields are additionally protected with per-tenant encryption. We apply role-based access controls, audit logging, and regular encrypted backups. No method of transmission or storage is completely secure, but we work to protect your information using industry-standard measures.
6. Your rights
Subject to applicable law, you may request to access, correct, export, or delete your personal data, and to restrict or object to certain processing. Because accounts are administered by your Company, you may first contact your Company administrator. You may also contact us directly using the details below and we will respond in accordance with applicable data-protection laws.
7. Data deletion
To request deletion of your account and associated personal data, email [email protected] from your registered address with the subject “Data deletion request”. We will verify the request and delete the relevant data, except where we are required to retain it to comply with legal, tax or accounting obligations.
8. International transfers
NAQIX serves customers across the GCC and India, and data may be processed on secure servers outside your country of residence. Where personal data is transferred internationally, we apply appropriate safeguards consistent with applicable law.
9. Children
The Service is a business tool intended for use by organisations and their staff. It is not directed to children, and we do not knowingly collect personal data from children under 16.
10. Changes to this Policy
We may update this Policy from time to time. Material changes will be reflected by updating the “Last updated” date above and, where appropriate, by additional notice.
